Executive Assistant
About Us
Emperor is a leading, full service corporate communications agency. Proudly independent and with a long heritage of nearly 30 years we are well known in the world of reporting but now in London over 50% of our work is in other areas. These include brand, employee engagement, campaigns, digital (including websites) and moving image and content production. We have a wide range of mainly B2B clients – ranging from large FTSE 100 clients to smaller clients such as regional law firms.
What makes Emperor a great place to work springs from the fact that we are employee-owned. This means employees have a strong voice in how we are run. We have retained our commitment to hybrid working and flexible working hours. Our culture is fair and based on trust, with a good work and home balance.
The Role
Emperor is looking for an exceptional Executive Assistant to provide high-level, trusted support to our Founder & CEO. This is a pivotal role for a highly organised, proactive and discreet individual who can operate with sound judgement, absolute confidentiality and calm efficiency in a fast-moving environment.
Acting as a true right hand, the Executive Assistant will help ensure the Founder & CEO is prepared, prioritised and able to focus on the highest-value areas of the business. The role combines seamless diary and inbox management, meeting and travel coordination, stakeholder liaison, preparation of high-quality documents and presentations, and proactive support across day-to-day operations, strategic priorities and ad hoc projects.
Please note: This role is London based, with 3-4 days per week in the office
Key Responsibilities
Provide seamless, high-level executive support to the Founder & CEO, acting as a trusted gatekeeper and partner across daily priorities, business rhythms and strategic commitments.
Manage a complex and fast-changing diary with excellent judgement, ensuring time is aligned to business priorities, travel demands, internal meetings and external commitments.
Coordinate inbox activity where required, helping to prioritise correspondence, draft responses and ensure timely follow-up on key matters.
Prepare the Founder & CEO thoroughly for meetings by collating agendas, briefing notes, papers, presentations and relevant background information in advance.
Attend meetings and calls where needed, capture accurate notes, produce first-draft follow-up actions and track progress on agreed next steps.
Arrange domestic and international travel, including itineraries, accommodation, transport and contingency planning, ensuring smooth and efficient travel experiences.
Act as a polished and professional point of contact for senior internal stakeholders, clients, partners and external contacts, building strong working relationships on behalf of the Founder & CEO.
Draft ad hoc emails, presentations, meeting packs and PowerPoint skeletons, often bringing together information from across the business into clear and executive-ready materials.
Support the planning and coordination of leadership meetings, offsites, events and client-facing activity, helping ensure strong organisation and smooth delivery.
Manage expenses, records, confidential files and administrative processes accurately and efficiently, maintaining excellent attention to detail at all times.
Proactively anticipate issues, spot diary clashes or workload pressures, and find practical solutions before they become problems.
Provide ad hoc project, research and operational support as required, contributing flexibly across a broad and evolving remit.
Experience:
Significant experience in an Executive Assistant or Personal Assistant role, supporting founder, CEO or senior executive-level leaders within a fast-paced, high-performing environment.
Systems:
Advanced Microsoft Office skills, particularly Outlook, Word, Excel and PowerPoint. Experience using expenses or finance systems, project tracking tools, CRM platforms and AI tools such as Microsoft Copilot or ChatGPT would be advantageous.
Qualifications and personal attributes
Previous experience in an Executive Assistant, Personal Assistant or similar senior support role, ideally supporting founder, CEO or C-suite level executives.
Exceptional organisational and time management skills, with the ability to juggle multiple priorities, adapt quickly and maintain accuracy under pressure.
Excellent written and verbal communication skills, with the confidence to draft polished correspondence and executive-ready documents.
High levels of discretion, integrity and sound judgement, with the ability to handle sensitive and confidential information appropriately.
Strong relationship-building skills and the ability to work effectively with senior colleagues, clients, partners and external stakeholders.
A proactive, solutions-focused mindset with the confidence to anticipate needs, identify issues early and take ownership of practical solutions.
Strong attention to detail, excellent judgement and the ability to maintain high standards in a fast-paced environment.
Comfortable working independently, showing initiative and resilience, while collaborating effectively with wider teams across the business.
Passion, enthusiasm and a positive, can-do approach to supporting senior leadership and contributing to the wider success of Emperor.
